What Back to One is

Back to One is a production-management platform used by film and video production companies to coordinate shoots — scheduling, crew and cast records, budgets, media review, and related workflow. This policy describes what data we collect, how it's used, and how it's protected.

Data we collect

We collect the following categories of data:

  • Account data — name, email address, phone number, role, and login credentials for anyone invited onto a production team.
  • Project data — schedules, call sheets, budgets, crew and cast records, locations, and other production-management content entered by your team.
  • Media — video, images, and documents uploaded for review, dailies, moodboards, or deliverables.
  • Usage data — basic technical logs (timestamps, IP address, device/browser type) used for security and reliability.

Where data is stored

Account, project, and production data is stored in a managed Postgres database (Supabase). Uploaded video is processed and hosted for streaming playback by Mux; other media and documents are stored in Supabase Storage. Sub-processors are contractually bound to protect data at a level consistent with this policy and only process it to provide their service to us.

Email and SMS

We send transactional email through Resend (account notifications, invites, password resets) and transactional SMS through Twilio (call-sheet texts to crew and cast who have been booked onto a production). See our SMS Messaging Policy for how SMS opt-in and opt-out work. We do not send marketing email or text messages.

Cookies

Back to One uses cookies strictly for authentication and session management — keeping you signed in and identifying your account on each request. We do not use advertising or third-party tracking cookies.

Data retention

We retain account and project data for as long as your team's account is active, plus a reasonable period afterward to allow for account recovery and to meet legal or accounting obligations. Media uploaded to storage buckets follows the same retention as the project it belongs to. A team can request deletion of its data by contacting us (below); note that some storage deletions are permanent and cannot be recovered once processed.

Who can see your data

Project data is scoped to the team and production it belongs to. Crew and cast members see only what their role and the production they're booked on entitle them to see. We do not sell, rent, or share your data with third parties for their own marketing purposes.

Your choices

You can ask us to access, correct, or delete your account data at any time by contacting us below. Producers and account admins can also manage crew/cast records directly within the app.

Changes to this policy

We may update this policy as the product evolves. Material changes will be reflected with a new "Last updated" date above.
